How we handle
your information.

Chibi Art is a business that works with children’s drawings.
For that very reason, we believe we must be more rigorous than anyone about how information is handled.

cras Inc. (hereinafter “the Company”), which operates Chibi Art, treats the personal information of clients, contributing artists (children), their legal guardians and website visitors as the most important asset for the continuity and trust of the business.

This Policy discloses, plainly, the scope of information the Company collects, the purposes of use, the conditions for provision to third parties, and the rights of the individuals concerned.

ARTICLE 01
Scope of this Policy.

This Policy applies to the website operated by the Company, https://chibiart.jp, and to all transactions, enquiries and contracts relating to the Chibi Art business the Company provides.

If you move from our site to an external site, the privacy policy of that destination is governed by its respective operator.

ARTICLE 02
Information we collect.

The Company collects the minimum necessary information, limited to the purposes below.

  • Via the enquiry form — your name, company name, email address and the content of your enquiry
  • When a contract is concluded — company name, contact person’s name, address, billing information and matters set out in the contract
  • When a work is provided (via the legal guardian) — the contributing artist’s (child’s) name and age, the legal guardian’s name and contact details, and the consent form
  • When you browse the site — IP address, browser type, referral source, pages viewed and cookie information
ARTICLE 03
Purposes of use.

Collected information is used only for the purposes below.

  • Responding to enquiries and handling consultations
  • Concluding and performing contracts (billing, delivery, the circulating payment of compensation and the making of donations)
  • Paying compensation to contributing artists and legal guardians, and reporting on use
  • Operating and improving the site, and detecting unauthorised access or faults
  • Responding as required by law (taxation, litigation, legitimate requests from public authorities, etc.)
ARTICLE 04
Provision to third parties.

As a rule, the Company does not provide personal information to third parties. This excludes disclosure required by law, and provision to subcontractors (such as our retained lawyer, tax accountant and delivery providers) to the extent necessary to perform a contract.

ARTICLE 05
Information of contributing artists (children).

The core of the Chibi Art business is adopting children’s drawings into corporate brand communications. The Company handles the personal information of contributing artists according to the principles below.

  • We do not publish drawings, names, ages, photographs, or similar identifying information without the legal guardian’s consent.
  • Even when we do publish, we keep to a scope that avoids identification — a nickname or age only, for example.
  • Copyright in a drawing belongs to the contributing artist themselves. The Company uses it under a licensing agreement.
ARTICLE 06
Cookies and access analysis.

This site may use cookies and access-analysis tools to improve site usability and to understand access patterns. The information obtained is anonymised and does not identify individuals.

ARTICLE 07
Storage and deletion of information.

Collected information is stored only for the period necessary to achieve the purpose of use (as a rule, two years for enquiries; for contract documents, the period prescribed by law), and information that is no longer needed is deleted promptly.

ARTICLE 08
Rights of the individual.

An individual (or their legal guardian) may request disclosure, correction, deletion or suspension of use of their own personal information held by the Company. On contacting our point of contact, we will verify identity and respond within a reasonable period.

ARTICLE 09
Security.

To prevent unauthorised access to, loss, alteration or leakage of the personal information it collects, the Company takes reasonable security measures, including the encryption of communications (SSL/TLS) and the management of access permissions.

ARTICLE 10
Revision of this Policy.

The Company may revise this Policy in response to changes in law or in the content of its business. A revised Policy takes effect from the time it is posted on this page.

“Our stance on the
protection of personal information.”

The Company regards the proper protection of the personal information of clients and contributing artists as the greatest foundation of running its business.
Beyond complying with the law, we continually review our management framework and pursue a highly transparent handling of information.
